When changes are made to the Quaker spreadsheets the details are posted here.

Latest versions:

  • Cash Book Spreadsheet - Version 7g
  • End of Year Spreadsheet - Version 7d
  • AM Collation Spreadsheet - Version 7c

These are available for PCs with Excel, OpenOffice, or LibreOffice. Excel 2004 for Mac and Excel 2011 for Mac are also suitable, but not Excel 2008 for Mac, which lacks Visual Basic, so that the Cash Book command buttons do not work. If you have only Excel for Mac 2008 you may find the version for OpenOffice and LibreOffice more useful.

06/01/2012 - Cash Book - version 7g

The "Record tax received" command used occasionally to crash with Microsoft error number -2147417848.
Gift Aid used to crash if you mistakenly edited a GA code from "G01" to "GO1" (with letter "O").

Rows to record Gift Aid tax received are now always unhidden.

The values in the Gift Aid claim schedule are formatted with two decimals.

The Gift Aid "Review Last Year" button allows the display of file names ending either in .xls or in .xlsm, so as to work with the new file format.

16/11/2010 – Cash Book – version 7f

Gift Aid used to fail if the words "Gift Aid" were entered as the Description of an uncleared cheque at the start of year. The wording of labels on the Funds worksheet has been clarified.

07/08/2010 - Cash Book - version 7e

Help button has been added for opening the help file. Drag-and-drop editing is disabled to protect the formulas from damage. User guide updated for Excel 2010.

01/02/2010 – Cash Book – version 7a

Version 7 includes a new worksheet "Analysis of Funds" showing the current balance for each fund. Worksheet protection is turned on automatically every time you use the Totals or Reconcile command buttons, though you can stop this happening if you don’t like it. More of the entries are validated at the point of entry and display an immediate warning message when invalid data is entered.

16/12/2008 - Cash Book - version 6a

This now deals with two bank accounts in the same spreadsheet, such as a current account and a deposit account. Items not yet cleared are highlighted with a green background, which turns white when the item is cleared, making it easier to spot uncleared items.

The allocation of support costs is entered and displayed separately for each fund. The Spreadsheet has a macro to disable drag-and-drop editing and restore it on exit.
The User Guide explains how to bring the buildings into the balance sheet using a prior-year adjustment. It contains instructions for Excel 2010.

The balance sheet entry pages have slots for a cash float.

17/02/2009 - End of Year - version 6b

The demo data has been corrected and amended to include an example of a prepayment. The empty spreadsheet is unchanged.

6/01/2012 - AM Collation - 7c

The spreadsheet name has been changed to "AM Collation", since accountants prefer to use the word Consolidation only when the accounts of separate charities are merged, not for parts of the same charity, as with Local and Area Meetings.

16/08/2010 - AM Consolidation - 7b

The prior year adjustment has been improved. A macro has been added to disable drag-and-drop editing and restore it on exit. The User guide contains instructions for Excel 2010.

16/12/2008 - AM Consolidation - version 6a

The examiner's report has been moved between the trustees' narrative report and the SOFA, which accountants seem to prefer. Note 2 about the allocation of support costs has been clarified. The demonstration data is the same as before, except that the local meeting funds have been moved from restricted to unrestricted.
